Zoom: Hosting a hybrid meeting

Zoom Rooms can easily be used for hybrid meetings with some participants attending in-person in the same space and others attending remotely. These on-campus spaces must be reserved in advance for hybrid meetings through the Campus Events office.

Set up your Zoom meeting in advance

Schedule your Zoom meeting in advance and share the meeting link and details with any remote attendees. Remote attendees will attend the meeting as usual in the same way they attend any Zoom meeting.

Starting your Zoom meeting

When you are physically in the room where your hybrid meeting will be held, begin by opening the Zoom Workplace Desktop application.

  • Click the icon next to the bell icon in the upper right corner to pair your computer with the Zoom Room
  • On your Zoom Workplace Home screen, find the meeting listed in your calendar
  • Click the dropdown next to the blue Start button
  • Choose Start as Companion. Joining a meeting as "companion" will disable your computer's microphone and speaker, preventing any audio feedback from the in-room microphone and speaker. Joining as a companion allows you to monitor the meeting chat and share your screen.​​​​
During the Meeting
  • In-person attendees who need to monitor or participate in the in-meeting chat should join the meeting as a Companion in order to prevent any audio feedback or echo. 
  • In-person attendees who only need to share a screen, but do not need to participate in the in-meeting chat can do so using the Share Screen icon on the Zoom Workplace application Home screen. The Zoom Workplace application will share your screen to the room where you are physically located.
  • The in-room touchscreen control panel can be used to turn the room's built-in microphone and camera on and off.
Ending your Meeting
  • Before leaving the room, ensure that your Zoom meeting has ended using the in-room touchscreen control panel.
